Job Description

This globally recognised organisation, based in central Auckland is well known for providing financial and economic advisory services. Due to continued growth, they are seeking to appoint an experienced and versatile Executive Assistant to be a part of their progressive business. 

About the role: 

This is full time busy office based influential role, requiring absolute discretion, foresight, and a high-level coordination. This is more than a traditional EA position. You will be an essential support partner to the directors, ensuring smooth operations across their portfolio of business interests and private affairs. From calendar management and meeting preparation to liaising with key stakeholders and clients, you will manage sensitive information and play a vital role in enabling strategic focus and business efficiency.

Key responsibilities include:

  • End-to-end executive support, including proactive calendar and schedule management across global time zones
  • Preparing briefs, meeting notes, and follow-ups for internal and external engagements
  • Managing confidential correspondence and acting as a point of contact for both business and private matters
  • Coordinating travel, monitoring industry developments, and assisting with investor or client relationship tracking
  • Overseeing administration related to trusts, investments, and associated entities
  • Assisting with ad hoc projects to ensure smooth executive office operations

 

About you: 

You will bring a global mindset, professional approach, and have experience supporting high-level executives, ideally within financial services, private investment, or a family office. You will be confident managing shifting priorities, thrive in a role with complexity, and have a natural ability to anticipate needs before they arise.

What you’ll need to succeed:

  • Proven EA experience supporting senior leadership
  • Ideally a tertiary qualification 
  • Experience navigating highly confidential information and complex organisational structures
  • Polished communication skills, both written and verbal
  • A calm, composed, and professional demeanour under pressure
  • The ability to balance flexibility with reliability, including responsiveness after hours when required
