Job Description

Are you a highly capable Executive Assistant looking to work for a globally connected business? We’re seeking a sharp, proactive individual to support a senior leader across a range of professional and personal priorities. This is an influential role, requiring absolute discretion, foresight, and high-level coordination.

About the Role

This is more than a traditional EA position. You’ll be an essential support partner to a high-performing executive, ensuring smooth operations across their portfolio of business interests and private affairs. From calendar management and meeting preparation to liaising with key stakeholders and managing sensitive information, you’ll play a vital role in enabling strategic focus and business efficiency.

Key responsibilities include:

  • End-to-end executive support, including proactive calendar and schedule management across global time zones

  • Preparing briefs, meeting notes, and follow-ups for internal and external engagements

  • Managing confidential correspondence and acting as a point of contact for both business and private matters

  • Coordinating travel, monitoring industry developments, and assisting with investor or client relationship tracking

  • Overseeing administration related to trusts, investments, and associated entities

  • Assisting with ad hoc projects to ensure smooth executive office operations

This is a full-time, office-based position (Monday to Friday, 9:00am – 5:30pm), with occasional flexibility required to accommodate changing business needs, particularly when the executive is travelling.

About You

You’ll bring a global mindset, professional approach, and experience supporting executives within high-calibre environments, ideally within financial services, private investment, or a family office. You are confident managing shifting priorities, thrive in a role with complexity, and have a natural ability to anticipate needs before they arise.

What you’ll need to succeed:

  • Proven EA experience supporting senior leadership

  • Tertiary qualification and strong business acumen

  • Experience navigating highly confidential information and complex organisational structures

  • Polished communication skills, both written and verbal

  • A calm, composed, and professional demeanour under pressure

  • The ability to balance flexibility with reliability, including responsiveness after hours when required
