About NZIA:

The New Zealand Institute of Architects (NZIA) is a prominent member organization representing New Zealand’s architects, including a large community of architecture students and graduates. With over 4,600 members organized into eight branches nationwide, NZIA advocates for the interests of the architecture profession and promotes the broader cause of architecture. As an Incorporated Society, it is governed by a Council (Board) and supported by an Auckland-based office responsible for advocacy, government and industry relations, practice support, professional development, communications, and event and program management.

About the Role:
NZIA is seeking a highly capable and adaptable Senior Administrator with strong financial literacy, who can also support at an Assistant Accountant level. This is a varied role where you will wear multiple hats, providing administrative and finance support, assisting the membership team, and engaging directly with members. You will need to be a confident communicator, highly organised, and comfortable handling a broad range of tasks in a dynamic environment.

Key Responsibilities:

• Finance & Accounting Support: Assist with accounts payable/receivable, invoicing, reconciliations, and basic financial reporting. Support payroll processing and liaise with external accountants as needed.
• Membership Support: Engage with members, handle inquiries, assist with renewals, and ensure smooth membership processes.
• Administration & Office Coordination: Maintain office systems, coordinate meetings, manage suppliers and purchasing, and ensure an efficient working environment.
• Data & Reporting: Use MS Excel to manage and analyse data, create reports, and assist with financial tracking.
• General Support: Provide assistance to senior management and team members across various projects and operational needs.

About You:

• Proven experience in a senior administration role.
• Strong financial acumen, with experience in accounts support and payroll.
• Proficiency in MS Excel (intermediate to advanced level).
• Excellent communication skills, both verbal and written, with the ability to engage confidently with stakeholders and members.
• Highly organised and detail-oriented, able to manage multiple tasks efficiently.
• A roll-up-your-sleeves attitude, adaptable to different challenges in a busy environment.
• Experience with payroll, or financial systems is an advantage.
